When collecting and processing your data, we strictly adhere to the data protection regulations. Below we will explain in detail which precautions we take to protect your data and which data we collect at all or for which purposes.

In particular, the Data Protection Act 2018, the General Data Protection Regulation and the Telecommunications Act 2003, as amended from time to time, serve as the legal basis. These legal provisions serve the right to protection of personal data.

Collection and processing of personal data – How do we obtain your data?

1. data you provide/communicate to us

When using our website, you do not have to provide us with any personal information directly. If, for example, you send us an application, are interested in a business relationship or are our customer or supplier, we process the data that you have provided us with and that we need to fulfil the contract.

2. data that you provide/communicate through your use of our services.

In addition, we receive some data automatically and for technical reasons already when you visit our website. Each time a user accesses our website and each time a file is retrieved, access data about this process is stored in the form of log files. The following data is collected:

  • the IP address assigned to you by your provider
  • the date and time of access
  • the amount of data transferred
  • the name of the file or page accessed
  • a message stating whether the access was successful
  • message explaining why the retrieval failed, if applicable
  • if applicable, the operating system and browser software of your computer

This data is technically necessary for us to display our website to you and to ensure stability and security.

I. Legal basis, storage period and data recipients

The legal basis for the processing of your personal data is in particular:

  • Your consent (Art 6 para 1 lit a DSGVO) (e.g. contact request, online application, cookies).
  • Contract fulfilment or pre-contractual measures (Art 6 para 1 lit b DSGVO) (e.g. request for quotation or if you are our customer or supplier)
  • Fulfilment of legal obligations (Art 6 para 1 lit c DSGVO)
  • Safeguarding our legitimate interest (Art 6 para 1 lit f DSGVO) (e.g. ensuring the stability and security of the website, defence against legal claims).

We process your personal data, if necessary, for the duration of the entire business relationship as well as beyond that in accordance with the statutory storage provisions and documentation obligations or as long as our legitimate interest in storage exists for the defence of any liability claims.

Within our company, your data will be disclosed to those departments and employees who require it for the fulfilment of the contract, for the fulfilment of our obligations and for the protection of legitimate interests.

In addition, processors commissioned by us receive your data insofar as they require it for the fulfilment of their respective tasks. All processors are contractually obliged to treat your data confidentially and to process it only in the context of providing the service. Our order processors have undertaken to comply with the applicable data protection provisions vis-à-vis us. Order processing contracts have been concluded in accordance with Art 28 DSGVO. In the course of operating our website, for example, we have commissioned a software service company, which may gain access to your personal data in the course of its activities, insofar as they require the data to perform their respective service.

II. Information on the use of our websites

1. cookies

Our websites use so-called cookies. Cookies are small pieces of text information that make it possible to recognise the user and analyse your use of our websites. The information thus generated is transferred to the provider’s server and stored there. They are used to make our website more user-friendly, more effective and more secure. 2. Google Analytics

This website uses Google Analytics, a web analytics service provided by Google Inc, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (“Google”). Google Analytics uses “cookies”, which are text files placed on your computer, to help the website analyse how users use the site. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information on our behalf for the purpose of evaluating your use of the website, compiling reports on website activity and providing other services relating to website activity and internet usage to website operators. We only use Google Analytics with active IP anonymisation. This means that the IP address of the user is shortened by Google within member states of the European Union or in other contracting states of the Agreement on the European Economic Area. Only in exceptional cases will the IP address be transferred to a Google server in the USA and shortened there. The IP address transmitted by your browser as part of Google Analytics will not be merged with other Google data. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this website. When you contact us via the contact form and by e-mail, the data you provide will be stored by us in order to answer your questions. We delete the data accruing in this context as soon as storage is no longer necessary or restrict processing if there are legal obligations to retain data.

By sending the contact form or an e-mail to us, you give us your consent to process the data you have provided.

2. (Offer) Inquiry / Order Inquiry

On our website you have the possibility to send us a (quotation) request or an order request. For this purpose, you must provide us with your full name and e-mail address.

The data you provide will be processed by us for the purpose of dealing with your enquiry and for the subsequent processing of the contract and will be deleted after the legal obligation to keep records has expired.

IV. Information for our customers and interested parties

If you are our customer or an interested party, we only process the data from you that we need to fulfil the contract or to establish and maintain our business relationship.

These are the following categories of data:

  • Master and contact data
  • Order data
  • Billing and payment data

In addition, we may process your data on the basis of our legitimate interest (e.g. use of third party contact details in order processing, defence against legal claims) or on the basis of legal obligations (e.g. prevention of money laundering, legal retention obligations).

If you do not provide data required by us for the performance of a contract, we will usually have to refuse to conclude a contract or to execute the order, or we will no longer be able to perform an existing contract and will consequently have to terminate it.

Third parties only receive personal data from you if they need it for the fulfilment of the contract, e.g. banks for the processing of payment transactions or contractual or business partners who are involved in the fulfilment of the contract (e.g. for logistical processing).

If you receive a newsletter from us as an existing customer, the legal basis for the transmission is our legitimate interest. You have the option to unsubscribe at the end of each newsletter. Furthermore, in accordance with Art 21 DSGVO, you have the right to object at any time to the processing of personal data relating to you for the purpose of such advertising.

V. Information for our suppliers and third parties involved in order processing

If you are our supplier or a partner of our customers or suppliers involved in order processing, we will only process the data from you that we need to process the contract and maintain a business relationship. These are:

  • Master and contact data
  • Order data
  • Billing and payment data

Third parties will only receive your data if they require the data for the specific processing of the contract. The legal basis for the processing is the fulfilment of the contract and, if applicable, the fulfilment of a legal obligation or our legitimate interest (e.g. use of third party contact data for order processing, defence of legal claims).

If you do not provide data required by us for the fulfilment of the contract, we will usually have to refuse to conclude a contract or to execute the order, or we will no longer be able to execute an existing contract and will consequently have to terminate it.

VI. Information for our applicants

If you send us your application documents, we ask you not to provide us with any sensitive data. Sensitive data are, for example, your religious confession, your marital status or other information from which we can deduce your ethnic origin or state of health.

The data you provide us with will only be used to process your application within our company and will be stored for a period of six months.

By submitting your application documents, you give us your consent to process your documents for the purpose of handling your application.

VII. Consent and right of revocation

If your consent is required for the processing of your data, we will only process it after your express consent.

As a matter of principle, we do not process data of minors and are not authorised to do so. By giving your consent, you confirm that you have reached the age of 14 or that you have the consent of your legal guardian.

You can revoke your consent at any time at the following e-mail address: datenschutz@greenb2b.io. In the event of revocation of consent, the lawfulness of the processing carried out on the basis of the consent up to the revocation shall not be affected.

VIII. Data security

Your data security is our highest concern. We therefore make every effort to take all necessary technical and organisational security measures to ensure the security of data processing and to process your personal data in such a way that it is protected against accidental or intentional manipulation, loss or destruction or against access by unauthorised third parties. Our security measures are continuously improved in line with technical progress.

IX. Your rights

In principle, you have the rights to information, correction, deletion, restriction, data portability, revocation and objection at any time. If you are of the opinion that the processing of your data violates data protection law or that your data protection rights have been violated in any other way, you can complain to the supervisory authority. X. Information and contact

You retain control over all personal data that you provide to us. Upon request, we will be happy to inform you in writing whether and which personal data we have stored. Here you can also request the deletion of your data stored with us, unless it is required for the processing of contractual relations between you and us or we are obliged to retain it for legal reasons or we require the data for the defence of any liability claims.
